1. RESERVATION POLICIES:

Any offered prices and rates are valid for the inquiry date, unless a deadline for purchasing is specified in the proposal, in an invoice or related correspondence. In most cases the offered prices or rates cannot be guaranteed without timely confirmation and payment.

Any offered prices and rates are subject to change and will only be honored as shown on the proposal, in an invoice, corporate website or related correspondence in case of timely payment.

If the service requested is confirmed by a charge to your credit card, you shall receive an affirmative correspondence and confirmation within one or two business days; if the service requested is paid by an alternative method, such as a check, wire transfer, etc., a related affirmative correspondence shall be delivered within three to five business days, unless a special arrangement for an expedited processing/ delivery are made.

For processing the corresponding charge on the customer's credit card on file, a confirmation for any rendered services or reservation is required to be confirmed either on a form or agreement or an authorization, either written and/or verbal (if agreeable). Such notification will be considered as your acknowledgement and approval of the Reservation and Cancellation policies and conditions mentioned in the original proposal, invoice or related correspondence.

2. CANCELLATIONS and AMENDEMENTS:

Any requests for cancellation must be received in writing to the general delivery mailbox, with a reference to a confirmation number, invoice, ticket, etc.

I. Airline tickets reservation:

All cancellation policies of your airline ticket reservation will be specified for your acknowledgement in a related proposal, invoice or relevant correspondence, and become effective upon the confirmation. The following general cancellation policies apply to most of the airlines bookings with our company, as an ARC approved ticketing facility or through a recognized Travel Industry partnership:

  1. Fully refundable, unrestricted ticket. These tickets are fully refundable and exchangeable, if purchased as an airline published fully refundable airfare. If the ticket was issued by an airline, agency, or tour facilitator, as a special or discounted fare some minimal agency fee from € 50 or $ 75 per changed/cancelled ticket will apply.
  2. Partially restricted, refundable tickets. These tickets are refundable and exchangeable, if issued by an airlines, agency, or tour facilitator, as partially refundable tickets, or special, discounted fare. The following minimal airline and agency fees will be collected, if amendments or a cancellation are required:
    1. for domestic destinations within the US, EU, etc. valued [?] from € 100 or $ 125, a ticket exchange and agency rebooking/ cancellation fee of € 50 or $ 75 plus / minus any difference in the airfare, if applicable.
    2. for international or transcontinental destinations within between N. America, Europe and Middle East. valued from € 250 or $ 295 a ticket exchange and agency rebooking/ cancellation fee of € 50 or $ 75 plus / minus any difference in the airfare, if applicable.
    3. for international or transcontinental fare between other countries and continents, valued from € 300 or $ 375 of ticket exchange and agency rebooking/ cancellation fee of € 50 or $ 75 plus / minus any difference in the airfare, if applicable.
  3. Restricted, non-refundable, with a limited possibility for an exchange. These tickets are non-refundable, but could be exchanged for a fee, and limited to a determined time frame. Such tickets are issued by airlines, or agency, or tour facilitator, as fully non-refundable tickets, and typically a discounted fare. The following minimal airlines and agency fees will be additionally collected, if amendments are required to such tickets: 1. for domestic destinations within the US, EU, etc. valued [?] from € 100 or $ 125 a ticket exchange and agency rebooking fee of € 50 or $ 75 plus any difference in the airfare, if applicable.
    2. for international or transcontinental destinations within or between N. America, Europe and Middle East. valued [?] from € 250 or $ 295 a ticket exchange and agency rebooking/ cancellation fee of € 50 or $ 75 plus any difference in the airfare, if applicable.
    3. for international or transcontinental destinations between other countries and continents, valued [?] from € 300 or $ 375 of ticket exchange and agency rebooking/ cancellation fee of € 50 or $ 75 any difference in the airfare, if applicable.
  4. Restricted, non-refundable, non-changeable ticket under any circumstances. In case of a purchase of such an airfare, the agency strongly recommends to purchase a Travel insurance policy with the alternative coverage for cancellations due to any reasons, which would reimburse up to 50-75 % of the value of the airfare in case of a coverable reason for the annulment.
Some additional conditions and surcharges may also apply: (please review this information tentatively)

If a fare is issued in a foreign currency; the refund can be subject to a significant exchange rate fluctuation ( between the purchase date and the date of amendment or cancellation). If applicable, any banking fees or foreign currency exchange fees collected at time of sale are non-refundable under any circumstances.

Credit card charges are subject to additional currency conversions by banks or credit card companies, which are not within the control of the Company, may differ from the original estimate and may impact the amount charged to your credit card.

These rules are applicable to any class of service (1st, Business, Comfort, Economy, etc.) and to any booking class.

Most of the unrestricted or partially restricted special tickets have up to a 1 year of validation from the date of issuance. Discounted tickets typically have a more limited validation period.

Purchase of Travel Insurance is recommended for all types of airfares, except the fully refundable or unrestricted tickets. Compulsory or supplemental coverage may reimburse the expenses involved into exchange of the tickets or/and will partially reimburse a value of the lost airfare under coverable reason

II. Hotel, resort or private accommodations:

All cancellation policies of your hotel reservation will be specified for your acknowledgement in a related proposal, in an invoice or relevant correspondence, and become effective upon the confirmation. The following general cancellation policies apply to most of the hotels and resorts collaborating with our company as a IATA accredited agent or through a recognized Travel Industry partnership:
  1. Standard rack rates - regardless the time booked, whether made in advance or at the last minute, are typically cancelable without a forfeit from the hotel or a fee from our Company, if the cancellation is made more than 24 hours prior your anticipated arrival (by 12 pm of a local time, a day prior the arrival). If the request for cancellation will be received later, a hotel or our company will charge an amount equal to the first night stay with applicable taxes; a supplemental surcharge of € 20 ($ 25) may apply. These fees will be automatically retained from the credit card on file and become non-refundable under any circumstances upon the completion of the transaction.
  2. Special discounted or inclusive corporate rate or special event rates are typically cancelable without a forfeit to the hotel or a fee from our entity if it is made more than 2-10 days prior to your anticipated arrival (by 12 pm local time, a day prior to the arrival). If a request for cancellation will be received later, a hotel or our entity will charge an amount equal to the first night stay with applicable taxes; a supplemental surcharge of € 20 ($ 25) may apply. These fees will be automatically retained from the credit card on file and become nonrefundable under any circumstances upon the completion of the transaction.
  3. Discounted restricted rates are typically non-refundable, or non-cancelable, or non-transferable; and in most cases such reservations require up to 100% upfront payment , which becomes fully non-refundable upon confirmation of the purchase, with no amendments or cancellation being allowed under any circumstances.
Different cancellation policies apply to other type of special rates: corporate, event or holiday; as well as the rates which include a tour, transportation, meal plans, etc; some specific cancellation policies apply to these rates. Please review these rules in your proposal, in an invoice or related correspondence or customer service for further details.

3. CONSULAR AND VISA SERVICES:

While our company offers professional assistance with consular and supportive services, the applicants should also consider the rules and regulations of the Consular Authorities of relevant countries. We will be glad to provide you with related available sources, but in general all applicants must realize that the issuance of any type of a visa by any consular authority regardless of a country is not a mandatory action for the consular authorities, but a privilege extended to the applicant. Kindly consider acknowledging the following basic rules which are reflective of the consular authorities of most of the abovelisted countries

  1. Visa processing starts only after a consulate has collected all of the necessary documents or, in some cases, after an applicant passes a personal interview with the Consul.
  2. Once issued, the visa type, as well as the dates of its validation cannot be changed or extended.
  3. In most cases, the consulate reviews the visa application in 3-20 business days, but they reserve a right to consider a visa application in certain cases for as long as it feels necessary.
  4. Visa can be denied, if consular authorities have a serious reason to believe that an applicant's entry into or stay in the country will not be desirable.
  5. No assurances regarding the issuance of visas can be given in advance. Kindly note that no final travel plans or purchase of non-refundable tickets shall be made until a visa application is approved. Any attempt to involve our company in supporting an application for obtaining a visa by a willful misrepresentation or fraud will result in the permanent refusal of a visa or denial, as well as a potential actions in terms of administrative and other investigations, additional charges, etc.
  6. Once received, the applicant is responsible for verification of the spelling of the name(s), validation dates and other related data to insure that everything is in order. If any mistakes or omissions are found, or if your documents are not delivered within five business days, please contact us immediately.
  7. Unless specified, our company provides visa support services, as part of the travel package, which includes airline tickets, hotel, accommodation, transfers, interpretation, personal security, insurance, etc. Management of the entire travel case is a major priority and specialization for our company which complies with the requirement of consular and migration authorities of the relevant countries. In cases of willful misrepresentation and travel to the country without the involvement of our company following the successful receipt of a visa with the assistance of our company, without a specific release to do so from our company, we reserve a right to suspend the provision of any services, retain a minimum cancelation fee of € 400 or $ 500 for standard visas or from € 1,000 / $ 1,000 for the specialty visas. These amounts will be automatically retained from the credit card on file and will become non refundable under any circumstances.
  8. In cases of suspected willful misrepresentation or unusual behavior of the applicant, our company will contact the client for provision of additional information or supportive documents. If no suitable evidence or comments will be provided, our company reserves the right to terminate the business relationship with the client at once, without any refunds.
  9. In respect of the international transportation security requirements and immigration regulations, our company, as an accredited travel facilitator, reserves the right to retain and share with the consular or immigration security authorities, some personal information of the travelers / clients, including their full name, date of birth, contact information and /or any related information. We also reserve a right to report the evidence of any suspicious actions to the appropriate consular or immigration authorities and may notify the aforesaid authorities in case of amendments, cancellations, and changes in the itineraries or in a purpose of the anticipated or undergoing journey or in emergency situation, or upon request of such authorities.

4. INSURANCE:

cEventa® is licensed and authorized to arrange all types of Travel Insurance and International Insurance Plans with medical coverage. In general, all policies are undersigned by the AIG Insurance Group or its subsidiaries world-wide, and includes the coverage for trip interruption, trip cancellation, flight delay, luggage loss, emergency travel services and more. All of the terms, conditions, and schedule of benefits regarding the available plans and coverage will be included in a proposal delivered to the client prior to the travel.
